FAQ about SWHPN 2020 & Updates on COVID-19

Last updated: Wednesday, March 18, 2020

SWHPN 2020 General Assembly registrants:

There has been a flurry of emails from us as we have worked to keep you up-to-date on happenings related to holding the General Assembly in San Diego. However, we’ve reached the conclusion after our Board meeting this week that COVID-19 presents too many challenges for us to preserve the June 2020 event. Thus, in the spirit of keeping everyone as safe as possible, we have made the difficult decision to altogether cancel the in-person General Assembly.

We are going to immediately begin planning a live virtual summit, with multiple sessions, speakers, chat rooms, and more. We’ll send out more details, including dates, costs, how to get continuing education credits, and how to register, once we have finalized a program. This virtual summit will likely be held in late spring or early summer.

The San Diego Mission Bay Resort has cancelled all rooms. You should have received an email confirming the cancellation directly from the hotel. We have heard from a few people that this message went to spam, so please check in your spam/junk folder. The email will require you to “accept” the cancelled charge in order to get the money refunded. If you have any trouble with that, please let us know at [email protected].

Registrants will receive an email asking them if they'd like a refund or roll their registration over to 2021.

Thank you for bearing with us. With the onslaught of news, changing by the hour, we are working to get resources to support you up by the end of the week. We know that you are dealing with very serious logistical challenges (we’ve heard of family meetings in parking lots, of not being able to enter some locations, etc.) as well as being there for emotional support for staff and colleagues. We expect there will be a huge demand seeking to better understand grief and bereavement in the context of a pandemic, as well as creative practice applications, so if you have any thoughts or questions on this or any other items applicable to COVID-19, please check in at www.swhpn.org or follow us on Facebook or Twitter (@swhpn).

Please keep yourself as healthy - physically and emotionally - as possible. If there’s anything we at SWHPN can do to help, please reach out.

What should I do about the hotel room I booked at the San Diego Mission Bay Resort for March 15-17?

The Mission Bay Resort will be canceling all rooms for the March conference that were booked under the room block. You will not be charged, and they are handled. Please be patient with the conference hotel as they process those; it may take them up to 10 days.

What do I do about my travel reservations to and from the conference?

Let your airline, employer, or transportation provider know that the conference has been canceled. Though many airlines are not offering refunds (especially on nonrefundable flights), many are offering to rebook for later dates with no change fees due to the outbreak.

What if I originally didn't register for the conference, but now want to attend the virtual summit?

For those members and friends who are now interested in joining us, we will have options for you to do so over the coming weeks. Stay tuned to our website and here for updates on registration.
